Welcome, Exhibitors, to the Portland Pride Waterfront Festival!

Exhibitor Instructions

Please arrive during your assigned Load-in time (based on your Booth Number).

  • You do not need to check in before you proceed to your booth.
  • You may confirm your booth number at the Information Booth (just inside the North Gate/Pine Street Entrance) after 8am.
  • Your team is not required to pay the gate fee, but donations are encouraged! The suggested donation is $7. The Portland Pride Festival is one of the last on the West Coast that does not charge admission.

  • All open beverage containers must be emptied before admittance. This includes reusable water bottles! You may refill water bottles once inside the festival area at WES (Portland Water Bureau’s water event station).
  • No helium balloons are permitted inside the park.
  • Booth set-up is available 8AM-11:30AM Saturday and 8AM-11:00AM Sunday.
  • DO NOT transport goods on the festival grounds after 11:30AM Saturday or 11AM Sunday.

  • Vehicles are not allowed on the festival grounds without PRIOR WRITTEN APPROVAL from Pride Northwest. The City closely monitors use of Waterfront Park, and they will not hesitate to fine Pride Northwest for violations and damage to the park!

Refer to Load-in Instructions for your scheduled times and entry locations. THIS IS IMPORTANT! Load-in parking is limited. Please DO NOT arrive too early!

  • Load-in parking is permitted on SW Naito Pkwy (East lane, marked with traffic cones) during Load-In—you will have a maximum of fifteen minutes to unload; you must then move your vehicle from Naito Pkwy. Any vehicles parked on Naito after 11:00AM are subject to tow.
  • Booths must be open and staffed from 12PM-8PM Saturday and 11:30AM-6PM Sunday.
  • Early breakdown of booths is prohibited. This includes transportation of goods and supplies! This is very important, in order to ensure compliance with OLCC requirements. We dislike using such language, but this is a ZERO-TOLERANCE policy! Violations of this policy may result in fines and potential exclusion from future Portland Pride Waterfront Festivals. Your cooperation is much appreciated!

2018 DATES & HOURS OF OPERATION
– Saturday, June 16th, 2018 12pm8pm
– Sunday, June 17th, 2018 11:30am6pm

Exhibitor booths are open 12pm-8pm on Saturday and 11:30am-6pm Sunday. Vendor load-in is from 8am-11:30am Saturday and 8am-11am Sunday. Booths must be staffed and operating ALL HOURS the festival is open.

Vendor ‘load out’ may not begin before 8pm on Saturday and 6pm Sunday. See Load-in Instructions here

FESTIVAL  POLICIES:

Booths must be paid for prior to the start of the festival. Anyone whose payment has not been received, and processed, by Pride Northwest prior to the festival will not be allowed to participate. NOTE: NO REFUNDS WILL BE ISSUED AFTER JUNE 1st.

By purchasing an exhibitor booth reservation, you agree to and understand the following:

  1. Booths may not be shared – one organization per reservation, unless written permission has been given by Pride Northwest.
  2. No exhibitors may sell any food product or beverage. There are no sales of food/beverage/water or sampling of food or alcoholic beverages allowed at exhibitor booths.
  3. Exhibitors must agree to keep their booths in operation on both Saturday noon to 8pm, and Sunday 11:30am to 6pm. Failure to do so may result in fines and/or exclusion from future Portland Pride Waterfront Festivals.
  4. DO NOT transport merchandise and exhibit materials through the park while the park is open, or until the OLCC sweep is completed at the day’s end.
  5. Pride Northwest reserves the right to adjust reservations and policies at their discretion or as needed in order to manage the Waterfront Festival site.
  6. Exhibitors must comply with all instructions from Pride Northwest agents, safety personnel, and festival staff.
  7. Alcohol/alcoholic beverages for personal consumption may not be brought in to the festival grounds (due to OLCC rules), and consumption of any controlled or illicit substances are forbidden for any exhibitor, their staff and volunteers, and any festival participant. Participants who consume alcohol or exhibit intoxication prior to admission may be denied entry, and people who use any controlled or illicit substances on festival grounds will be removed.
  8. NO SMOKING, per City ordinance, of any kind is permitted within the festival grounds.
  9. Applicant agrees to indemnify, hold harmless and defend against any action against Pride Northwest, Inc., City of Portland, all sponsoring organizations and their officers, directors, employees, and agents from and against all liabilities whatsoever arising out of its participation in the Portland Pride Parade and Waterfront Festival. Entrant agrees to comply with the rules of the Portland Pride Parade and Waterfront Festival as listed in this form or additional rules deemed necessary for the safe conduct of the Portland Pride Parade and Waterfront Festival and related activities. Failure to comply may cause denial of entry to the festival or jeopardize future festival participation.

ADMISSION COST:
$7 Suggested Gay-it-forward Donation – purchase VIP ticket or use exact change for faster entry!

Pride Northwest is committed to providing an open, accessible festival for the entire LGBTQ community and our friends, families and allies. A $7 donation helps cover the costs of providing this valuable and necessary community gathering. All are encouraged to donate, but we do not turn away anyone for lack of payment. Gay-it-forward to help keep future Portland Prides free.

FOOD & BEVERAGE SERVICE:
Food and beverage vendors are on-site. No pre-purchased food or beverages may be brought onto the festival grounds. Valid ID is required for purchase of and consumption of alcoholic beverages.

ACCESSIBILITY:
The Portland Pride Festival at Tom McCall Waterfront Park is accessible to those using a wheelchair or other mobility devices. Accessible portable bathroom facilities are also available on-site.

Please Note: We work with the City and Rose Festival to address issues of accessibility to the Waterfront Park. If you encounter barriers to accessibility, PLEASE contact us so that we can continue to advocate with City officials, as well as review our own internal processes, to address issues of accessibility.
